QR Codes Are a New Channel for Business

Industrial companies are turning to a simple element like the QR code as a new way to reduce operating costs, improve the customer experience, and strengthen control over their technical documentation. What a few years ago was mainly used for marketing campaigns or hospitality is now solidifying as a strategic tool in sectors such as industrial equipment, medical devices, machinery, or professional electronics.

The shift responds to a problem increasingly visible in business environments: the difficulty of keeping the documentation that accompanies products and services up to date. Obsolete manuals, duplicate versions, dispersed documentation, or hard-to-find instructions generate recurring incidents in technical support, operational mistakes, and growing frustration among customers and distributors.

According to various industry studies, roughly 20% of technical support incidents in industrial and technological settings relate to issues accessing documentation or using the wrong versions. Added to that is the rising operating cost arising from maintaining printed documentation, managing updates, and responding to repetitive queries.

Simple operation

In this context, some companies are beginning to integrate QR codes connected directly to corporate document management platforms. The operation is straightforward: the customer scans the code from the product, packaging, or manual and automatically accesses the latest available version of the documentation, hosted and controlled from a centralized repository.

“Documentation can no longer be a static element. Companies need manuals, technical data sheets, and instructions to evolve at the same pace as the product,” explains Gaspar Palmer, CEO of OpenKM.

The trend aligns with a context of growing post-sales and technical service digitalization. In increasingly commoditized markets, the post-purchase experience has become a differentiating factor, especially in B2B sectors where support and the availability of information directly impact productivity and operational continuity.

The model also helps address one of the main problems of traditional documentation: loss of control over versions. When a document changes or is updated, the QR continues to point automatically to the latest validated version, preventing customers or technicians from working with outdated information.

Beyond the customer experience, companies are using this approach to reinforce traceability and regulatory compliance. In regulated sectors, such as manufacturing, healthcare, or technical maintenance, being able to verify that a worker is following the correct version of a procedure is becoming a critical element.

Some organizations are already embedding QR codes directly onto PDF documents or technical procedures to validate authenticity, validity, and traceability. The technician scans the document and checks in real time whether it is the latest officially approved version.

The deployment of this kind of model also responds to efficiency criteria. Market analyses indicate that document digitization can reduce up to 30% of repetitive support queries related to documentation and maintenance, in addition to lowering costs associated with printing, distribution, and manual version management.

Meanwhile, the expansion of mobile device use in professional environments is accelerating adoption. According to Eurostat data, more than 80% of European companies already use connected mobile devices in field operations or remote work, enabling immediate access to documentation from any location.
