From there, candidates are managed through workflows configured to evaluate, accept, or discard profiles, with automatic notifications sent to those who do not advance in the process. Resumes are stored in a centralized, always-up-to-date repository: after one year, the system generates a task to decide whether to keep or delete each resume; if you opt to retain it, you request the candidate’s consent to extend it for another year, and if not, the document is securely deleted, helping GDPR compliance.
When a candidate is selected, they are sent a form to complete the necessary information and the contract is automatically generated from those details. The sending for signature is performed with full legal validity through our integrations with Signaturit or DocuSign, with real-time tracking up to the final signature. We also configure and automate onboarding and offboarding processes, as well as holiday and vacation management, to guarantee a consistent, agile, and error-free experience.
Additionally, the flexibility of our document manager enables digitizing the department’s historical archive, eliminating tedious searches and duplicates. With DocuWare IDP, our AI-powered OCR, it is possible to separate, classify, extract — including handwriting — and summarize documents in a fully automated fashion, with no intervention beyond scanning. We achieve an extraction reliability close to 95%, turning paper files into a searchable and useful repository.
