Global Green Europe (GGE) is an international group focused on the sale of recycled plastic. Founded in 2013, in Spain it has a team of 10 employees and generates €6 million in revenue. The company conducts a high volume of transactions. Its activities involve coordinating finance, procurement, and administration in a tight-margin environment and highly sensitive processes, especially those related to supplier relationships.
In this context, managing between 300 and 400 invoices per month posed significant risks. The first step involved strengthening the ERP and CRM. From there, the company began iterating on the model, refining processes until achieving a high level of precision. In this way, controls, alerts, and evidences were integrated into the operational flow, relieving administrators from exhaustive manual reviews.
The next step was to integrate “José Luis,” the agent who monitors emails, detects invoices, and prepares their draft in the ERP. Before recording any invoice, he runs a series of key validations such as sender verification to prevent fraud, checking purchase terms in the CRM, validating tax data, and verifying bank ownership in the ERP.
In practice, “José Luis” works as another member of the team. He has his own corporate account to which colleagues send the invoices, and in less than a minute he responds, noting whether the invoice has been uploaded or returning it if it does not meet the criteria required for posting. In this case, he explains the discrepancies found so the administrator can resolve them with the supplier before resubmitting.

Today, each invoice is processed in under a minute with 100% of the controls applied consistently and traceably: sender, terms, tax data, and banking details… This has eliminated fraud risk and posting errors.
Additionally, the company has achieved a 95% reduction in time spent per invoice and has freed more than 75% of the administrative staff’s workload to devote to tasks that truly require judgment.
The process is now uniform, consistent, and traceable, and, more importantly, the administrative staff remains; what has disappeared is exposure to error.
